​​Position Summary: The Project Assistant (PA) is an integral member of the Regional Security Operations Centre (RSOC) project team. The PA collaboratively supports all aspects of project implementation for a successful adoption of new services and/or products that TransForm provides. The PA role is focused on the consistent flow of current, accurate, and usable information amongst the key stakeholders. What You Will Do: Reporting on status of existing projects. Forecasting future resource capacity based on resource projections. Attendance at various committee/working group meetings, along with administrative support for recordkeeping and follow-up with attendees & nonattendees. Coordination of committee meetings, development of agenda, taking of minutes, maintenance of committee membership, and dissemination of materials. Will work closely with committee chair\co-chairs to develop agenda, gather materials, and document minutes\action items. Assist with the identification & planning of project management activities across multiple sites Assist in establishing standard process for collection of regular updates from project members Ensuring the timely entry, updating of data by the various process owners, and reporting on deficiencies in that currency to leadership. Track and monitor progress of local implementation & adoption activities and flag any deviations from plan Track and monitor achievement of adoption targets and provide regular updates Validation of portfolio-level reporting before alerting senior leadership of its availability. Coordination of events in terms of facility, invitation, equipment, catering and other logistics. Maintain and update project repository with required tracking information Assist in the creation of any required ad hoc reports and/or communications Responsible for determining the appropriate priorities for administrative support and dealing with multiple, often conflicting demands Documenting activities, touchpoints, and meetings in the program project management tool. Assisting with updating security reports as required by the program. Assisting with building on a security resource repository for digital health assets at TransForm. Other duties as assigned
